




Automate employee creation and updates with Zenegy
By integrating Contractbook with your Zenegy payroll platform, you can eliminate manual data entry during the onboarding process. This guide will show you how to automatically create a new employee - or update an existing one- in Zenegy as soon as an employment contract is fully signed in Contractbook.
To build automations in integration with external applications that apply to all company contracts or utilize templates from shared template spaces, you must have user permissions to “Manage all contracts” enabled for your account, be the creator, or have shared “Manage templates” permissions in the specific source template space.

Phase 1: Configuring the trigger event
The first step is defining the event that will kick off your automation workflow.
Set the trigger
Navigate to the Automations tab from the main menu.
Click the blue Create new button in the upper right-hand corner.
Select Contract is signed from the drop-down menu.
Define the contract
Specify which contract should initiate the automation. You can apply this to every contract, a specific individual contract, or Every contract drafted from a specific template.
Use the search bar to locate and select your standard employment agreement template.
Tip: If you have multiple templates with the same name, click the small eye icon to preview the document before selecting it.
Choose the signature requirement
Decide whether the automation should execute after Every signature or only after the Final signature. For an employment record, you will generally want to select Final signature to ensure all parties have fully agreed before generating a payroll record. Click Save to continue.

Phase 2: Configuring the action event
Next, define what happens in Zenegy when the selected contract is fully signed.
Under the "Then" section, search for and select Create or update employee.
A configuration window will appear on the right side of the screen, containing three separate tabs linked directly to your Zenegy application.
You can map variables (Data fields) from your Contractbook template directly into these Zenegy fields:
Configuration tab | Purpose | Key data points to map |
Profile | Establishes the core identity and contact information for the employee. | Email address, Full Name, and CPR number (National ID no.). |
Employee | Fills out the details of their specific role and employment status. | Job title, employment date, seniority date, and salary type. |
Salary | Sets up the customized payroll profile for the new hire. | Pay type, payment period, hourly rate, and number of hours. |


Critical Note on CPR Numbers: The unique identifier for every Zenegy record is the employee's CPR number. This must be automatically fetched from the National ID no. value in the Party details field of your contract.

If this field is left blank or formatted incorrectly, the automation will fail.


Phase 3: Publishing and managing your automation
Once your tabs are configured, you are ready to finalize the workflow.
Save and publish: Click Save to confirm your configuration, then click Publish in the upper right-hand corner to make the automation active.
Rename: Click the small pen icon next to the generic title in the upper left-hand corner to give your automation a recognizable name (e.g., "Create/Update Zenegy Employee").
Editing: If you need to make changes later, you must turn the Status toggle off (Unpublish) before making edits.
Remember to publish the automation again when the edits are finished.
Activity feed: Click the three grey dots next to the status toggle to view the activity feed, duplicate, or delete the workflow.
