Format and edit your documents
Formatting your templates and drafts requires edit document permissions. To edit the entire document's content, you must have shared rights to “Edit document” or “Full access” for the specific draft, or be the creator of the contract draft/template.
To see and use the formatting toolbar in drafts and templates, the edit mode must be enabled. Ensure the preview option in the top right corner is disabled so you can actively edit the content.

Basic text formatting

Select your desired font from the Font type dropdown menu and adjust its sizing using the Font size menu.
Apply formatting by clicking the Bold, Italic, Underline, and Strikethrough icons, or use standard keyboard shortcuts (e.g., Ctrl/Cmd + B for bold).
Click the Text color icon to change text color using a visual picker, HEX codes, or your recently used colors.
Click the Line height icon to adjust paragraph spacing from 1 to 3 for improved readability.
Click the Text alignment icons to align your text to the left, center, or right.

Click the Undo and Redo arrows to quickly reverse or reapply your latest changes.

Layout and structure tools
To structure your document body cleanly, click the three-dot menu to expand a list of advanced layout and structural tools:
Click the Table of contents option under the three-dot menu to insert a dynamic, clickable index that automatically updates based on the headings from the body text.
Click the Page break option to force page breaks and control exactly where pages split when the document is downloaded as a PDF or Word file.

Click the Lists icons to create numbered or bulleted lists. You can toggle the list markers to align to the left for a clean, uniform text block.

Click the Horizontal line option to insert a page-wide divider between sections.

Select the Pull quote option to highlight specific text by indenting it.

Interactive fields
Turn your static text into a data-driven contract by adding data fields, and other interactive elements to the body.
Click the Add field icon in the editor to add existing or create new data fields and insert them into the template/draft body:

Select the Checkbox option from the three dot menu to add a single option that can be turned on or off.
Click the Table icon to insert a standard table, or select Dynamic table from the three-dot menu to auto-populate rows with data from your automations.

Once a table is inserted, click the blue table menu icon directly above an active table to expand its layout options.
Manage your table's structure by adding or removing Columns and Rows.
Customize specific Cells by selecting Split, Merge, or picking a new Background color.
Disable the Table borders option to create clean layouts without visible gridlines, or select Delete table to remove the element entirely:

Use the Party details and Signature details options from the three-dot menu to ensure the fields dedicated to future signees are placed as desired.

Add attachments and media
You can enrich your contracts with external files and URLs from the three-dot editor’s menu.

Click the Photo option to upload and insert images directly into the body text.
Select the Link option to embed hyperlinks to external webpages.
Click the Attachments icon to embed files within the body text, or use the dedicated attachment section at the bottom of the document. This section functions differently depending on whether you are editing a template or a contract draft:
In a template: Use the Default attachments section to upload files that will automatically be included in every future contract created from this template.

In a draft: Use the Add attachments section to upload files that are specific to this single contract draft.

Long attachments stay neatly tucked away in collapsible sections to reduce visual clutter for your recipients.

Preview your document
Before sending your contract for signature, you can easily switch modes to review exactly what the recipient will see.
Click the Preview option in the top right corner of the editor to change from edit mode to preview mode.
Review your document under the blue background and "Read-only" badge, which confirms you are securely viewing the finalized layout.

Frequently asked questions
How does Contractbook process attachments?
Contractbook uses smart scanning technology (OCR) on all uploaded files. This makes the text within your attachments fully searchable and automatically detects and extracts any dates to help you easily set up due dates, reminders and automations.
What are the advantages of using data fields?
We highly recommend using data fields for any variable text that changes frequently between contracts (such as names, dates, or contract values). Doing so transforms a static document into a dynamic one with three main advantages:
Efficiency and automation: Data fields allow you to auto-populate documents and connect your contracts directly with other tools, like your CRM.
Accuracy and control: They prevent manual copy-paste errors. You can also mark data fields as "required" to ensure mandatory information is always collected before a contract can be signed.
Tracking and searchability: Data fields turn plain text into structured data. This allows you to easily filter your documents and trigger automatic reminders for obligations, such as renewal dates.
