Integrating Contractbook with Humaans: Automate new hire onboarding
You can seamlessly synchronize documents and data between Contractbook and your Humaans HR system. By integrating the two platforms, you can automatically import signed contracts (such as employment agreements) directly to the relevant employee's profile in Humaans, or trigger the creation of a completely new hire record once a contract is fully signed.
To build automations in integration with external applications that apply to all company contracts or utilize templates from shared template spaces, you must have user permissions to “Manage all contracts” enabled for your account, be the creator, or have shared “Manage templates” permissions in the specific source template space.
This guide will walk you through the setup of a workflow that automatically creates a new hire in the People tab in Humaans whenever an employment contract is signed in Contractbook.
Prerequisites for setup
Before configuring the integration, ensure you have the following ready:
An active Humaans account and workspace.
A Contractbook template for your employment agreement. All the details you want to map to the Humaans employee record must be set up as Data fields within this template.
Step 1: Connect Humaans and get your callback URL
To begin, you need to initiate the connection from your Humaans workspace.
Log in to your Humaans workspace.
Click on Integrations from the left-hand sidebar.
Locate Contractbook in the list of available integrations and click the Connect button.
In the new pop-up window, click on Configuration.
Copy the Callback URL provided in this window. Keep this tab open, as you will need to return to it shortly.
Step 2: Create an API Key in Contractbook
Next, you must generate an API key in Contractbook to authorize the connection.
Open a new browser tab and log in to your Contractbook account.
Navigate to Contractbook's API keys under your Profile settings.
Choose to create a new API key.
Paste the Callback URL (copied from Humaans in Step 1) into the required field during the API key creation process.
Generate and copy the new API key.
Step 3: Authorize and Map Data in Humaans
Now, return to your Humaans workspace to finalize the connection and set up the data mapping.
Paste the copied API key into the API Key input field within the Humaans configuration window.
Once authorized, click on Configuration from the Integrations view.
Under the Templates section, locate the specific employment agreement template you want to use (e.g., "Contractbook Student Assistant Agreement") and enable it.
Configure the document type and enable the creation of a new hire.
Click Configure next to your selected template to open the Data mapping and Profile fields window.
Map your Contractbook data fields to the corresponding Humaans profile fields so the system knows exactly what information to import once the automation is started.
Testing your Humaans automation
Before rolling this out to your company, it is highly recommended to run a test first to ensure data flows correctly.
Log in to Contractbook and locate the template you have selected.
Click Create a draft from the template.
Fill in the relevant test data fields (Name, Job Title, Salary, etc.) within the draft.
Add yourself and a test employee as signees, then complete the signature process.
Once fully signed, go to your Humaans workspace and refresh the page.
Navigate to the People tab and select New hires.
Click on the new test member's name to verify that all the mapped data fields from the Contractbook agreement were successfully imported into their Humaans profile.

What happens if I update the data fields in my Contractbook template?
If you add or modify data fields in your Contractbook template, you will need to return to the Humaans Integrations page, click Configure on the Contractbook integration, and update your data mapping to ensure the new fields are synced properly.
Can I use this integration just to upload signed documents to existing employees?
Yes. During the template configuration step in Humaans, you can choose to sync the document type to the respective employee's profile without enabling the "creation of a new hire" option.
Why did my test contract not create a new hire in Humaans?
Double-check that the contract was fully signed by all assigned parties. The trigger for this automation is the complete signature of the contract draft. Additionally, verify that your data mapping is correctly connecting the required fields in Humaans (like email and name) to the data fields in your Contractbook draft.
