Automate contract drafts and Pipedrive deal updates
By integrating Pipedrive with Contractbook, you can seamlessly manage your pipeline and contracts without manual data entry. This guide will walk you through setting up a two-phase automation: first, automatically generating a contract draft when a Pipedrive deal stage changes, and second, updating that Pipedrive deal as soon as the contract is fully signed.
Phase 1: Triggering a contract draft from a Pipedrive deal
First, we will configure the automation to generate a contract draft the moment a deal reaches a specific stage in Pipedrive.
Set the trigger event
Navigate to the Automations tab in the top menu of Contractbook.
Select My automations from the left-hand sidebar.
Click the Create new button in the upper right-hand corner.
Set the trigger event to Deal stage is changed.
Select the specific Pipedrive deal stage that should initiate the flow (e.g., Contract drafted).
Click Save to confirm.
Configure the contract draft action
Next, tell the system what action to take when the trigger event occurs and the automation starts.
Under the Then section, click the plus icon, select Create a draft, and choose the exact template you want to use.
A configuration sidebar will open, featuring four key tabs to help you customize your contract draft:
Configuration Tab | Purpose | Key Features |
Details | Set the draft name and configure parties/signees. | Auto-populates template data, pulls Pipedrive variables, and features a public search to instantly find company details (Denmark, Sweden, Norway). |
Data | Insert specific deal information into the contract. | Maps your chosen Pipedrive data points directly into the body of the contract draft. |
Tables | Enrich the draft with dynamic tables. | Connects dynamic tables in your Contractbook template to Pipedrive data sources, automatically populating columns with Deal products and line items. |
Other | Customize the email sent to recipients. | Write a personalized message combining standard text with dynamic Pipedrive variables. |

Phase 2: Updating Pipedrive deals post-signature
With the creation phase set up, you can build a second automation to ensure your Pipedrive deal automatically updates once the generated contract is fully signed.
Set the post-signature trigger
Return to the Automations tab and click Create new.
Select Contract is signed as the trigger event.
Choose Every contract drafted from a specific template and select the exact template used in Phase 1.
Decide if the automation should trigger after Every signature (each time a single signee completes their part) or only upon the Final signature (when the document is fully executed). For this use case, we recommend selecting Final signature.
Click the blue Save button when you are done with the event configuration.
Configure the update deal action
Under the Then section, select Update deal from the drop-down menu.
Specify the correct deal by mapping the Deal ID from the template's data fields, or by typing it manually. You can also use the search field to select any available Party or Signee variable.
Choose which Pipedrive deal properties you want to update (e.g., changing the deal stage to Closed won).
Map the required values. Note that you must update at least one Pipedrive property for the action to be valid.

Phase 3: Publish and run
Once you have determined all deal properties you wish to update and configured your actions for both phases, you are ready to go live.
Give your automations a clear, identifiable name in the upper left corner.
Click Publish in the upper-right corner.
You have successfully created your Pipedrive automation. By synchronizing your data back to the Pipedrive properties they originated from, you eliminate human error and ensure your post-signature process instantly reflects the status of your contracts from Contractbook.
