Automatically create a new invoice in QuickBooks

To build automations in integration with external applications that apply to all company contracts or utilize templates from shared template spaces, you must have user permissions to “Manage all contracts” enabled for your account, be the creator, or have shared “Manage templates” permissions in the specific source template space. 

Once you have successfully established a connection between your Contractbook and QuickBooks accounts, follow these steps to automatically generate a new invoice upon contract signature:

Configure the automation trigger

The first thing you need to do is set the exact trigger event for the automation to be executed.

  • Click on the Automations tab from the main menu on the left side of the screen.

  • Click the blue Create new button in the upper right-hand corner.

Configure the action event

After saving the trigger, you need to define the action that the trigger event will automate.

  • Click the Add action button located below your saved trigger.

  • Search for and select the Create QuickBooks invoice action from the drop-down options.

Define customer details

Under the Customer Details section, you can start by mapping out the basic customer contact details, such as the Name, Mobile phone, Email address, and Currency for the new invoice.

  • Click on the relevant input fields and use the Variables menu to automatically pull data fields, party information, or signee details from the signed contract to auto-populate the invoice.

Configure invoice items

Scroll down to the Invoice Items section to define the billing line items and amounts.

Publish and test your automation

Before relying on the workflow, you should activate and test it to ensure the invoice is generated correctly.

  • Click the Automation name field in the upper left corner to give your workflow a descriptive title (e.g., "QuickBooks Sales automation").

Verify the created invoice in QuickBooks

  • Once your test is successful, log into your QuickBooks account and refresh the Sales (Transactions - All Sales) page under your company's account.

  • Your new invoice will be available with the mapped customer data. The final amount of the invoice will match the calculation you defined in the automation setup.
