





Get started with Data fields
Centralizing your company's contract data begins with creating unique, standardized data fields.
You can create new data fields in two main ways - from your company library, or from the opened document.

Create new data fields from the library
To create your company's data fields, you must have rights to “Manage data fields library”. Ensure you have this user permission enabled before proceeding, or contact your company administrator for help.
Once enabled, follow these steps to create new data fields in your company data fields library.
Click on your profile icon in the top right corner and select Data fields library under the “Company” section from the menu.
Click the blue New data field button in the top right corner.
Type a unique name for the data field in the Field name text box.
Select the correct format for your data from the Field type dropdown menu.
A new panel with Properties and Usage tabs will appear on the right side of the window.
Use the Properties tab to add Field description, set Formatting, adjust field and admin Settings.
Scroll further down to set the new data field as a Default field for all your company contracts.
Click the blue Save button to add the new data field to your company's library.

Create from the data fields sidebar
Open a draft, contract or template.
Click the Data fields icon on the right-hand sidebar to open the data fields menu.
Click the +Add fields button.

Click the highlighted in blue Create new field button at the bottom of the pop-up module.
Type a unique name, select the Field type, configure the properties, and click Save.

Create from the document formatting editor
Open a draft or template.
Enable the edit mode of the document, by making sure the Preview option is disabled.
Click exactly where you want to insert the new data field within the text body of the document.

Click the Add field icon in the formatting menu directly above the body text.
Click the highlighted in blue Create new field button at the bottom of the dropdown list.
Type a unique name, select the Field type, configure the properties, and click Save to insert the new data field in the body of your document.

Frequently asked questions
Can I create data fields that are only visible to users from my company?
If you want to track internal information without adding it to the body text of the contract/template visible to external users, you should use metadata fields.
What can data fields be used for?
Data fields are the best way to structure and track important contract data, such as specific deadlines (date types - due date). They can be assigned to recipients or collaborators to collect information, they can also be used to filter custom contract views, track insights for reporting, and manage automated contract workflows.
Can I add data fields to all types of documents?
You can add data fields to most documents, including templates, contract drafts, converted Word and PDF files, and AI imports. However, data fields cannot be added to static uploaded contracts created via the Upload contract button. For static uploads, you can only use metadata fields.
