How can I use party and signee contact details in my automations?

To build automations that apply to all company contracts or utilize templates from shared template spaces, you must have rights to “Manage company contracts” or “Manage templates” permissions in the specific source template space. 

Using party and signee contact details in automations can be done through the Variables tab when defining your automation settings.

How to select and filter signee data

When configuring your automated workflow, you can accurately target the correct recipient data dynamically from your sequence of signing parties directly from the automation setup window.

  • Click on the Variables tab within your specific automation action setup.

  • Scroll down until you see the Document Signee section.

Available document signee variables

To learn where to find party and signees variables and what specific data can be extracted based on these, it depends on the type of party (company or private person). You can utilize the following variables:

  • Type

  • Email address

  • Hereafter referred to as

  • Full name or company name

  • Personal or representative title

  • Title

  • Address

  • Company or national ID

  • Is the last person who signed the contract

  • Select signee number for each type of signee variables, to choose a specific signee from your contract's signing order sequence (for example, always fetching data from the second signee).

  • Select Find signee using filter to filter any variable of a signee to match only a specific set of criteria you define in the trigger event.

  • Complete this detailed configuration by clicking on the blue Add button in the module.

Example automated workflows

By leveraging your document signees’ variables, you can eliminate manual data entry and streamline your contract management. Here are a few examples of how this feature can be used:

  • Automatically create a new contract draft with auto-populated party and signee information fetched from a specific signee field of a fully signed contract.

  • Automatically request a review when a draft is updated and assign this task to a signee whose email address matches specific criteria (e.g., is equal to, starts with, is different than, contains).

  • Automatically send a contract from a specific template for signature with already auto-populated signee details fetched from an updated draft.
