How to add and customize tasks in your contracts

Adding tasks to contracts and drafts requires specific permissions. To set up a contract reminder or assign a task to a user, you must be the contract creator, have at least “View and comment on document” shared permissions for drafts, or have “Can view” shared permissions for pending, rejected, or signed contracts. Alternatively, company users with the “Manage all contracts” permission enabled can create tasks across all company contracts. 

Add a task from an open document

  • Open the specific contract draft, pending, rejected or signed contract.

  • Click on the Tasks icon located in the right-hand sidebar.

  • Click the Add task button to open the customization menu or select one of the recommended types of tasks in the sidebar (Approval, Review, Renewal reminder).

  • Use the Tasks sidebar within documents to make changes, duplicate or delete tasks.

  • Click on the three gray dots next to the task’s title and select Edit to amend the details in the task details module.

  • Click on the three gray dots next to the task’s title and click on Delete to remove this task from the contract or draft completely.

  • Click on the three gray dots next to the task’s title and click on Duplicate to add an identical copy of this task.

  • Use the status dropdown menu to change the task from Pending to Done. To complete a task, you must be one of the task’s assignees.

Add a task from contract views

  • Click on the Contracts tab from the main navigation menu.

  • Locate the specific contract or draft in the relevant contract view.

  • Click the + (plus sign) icon located directly under the Tasks column of the view for that contract or draft.

Add a task from the Review contract page

  • After drafting your contract, click the blue Review and sign / Review and send button to enter the final contract review step.

  • Use the recommended Tasks located under the Reminders and tasks section or create a new custom task by clicking on the + Add task button.

  • Add the details to the new task and click the blue Save button to assign your reminders and tasks before signing or sending the contract draft for signatures.

  • You can also block the draft from being signed until the tasks you create in this step have been completed. To achieve that, enable the Block the document from signing until the task is marked as done option at the bottom of an Approval task window.

Understand the task details

  • Choose Assignees who will be responsible for completing the task, or Followers who will act as passive observers of the task's lifecycle.

  • Click on the Assignee or Follower field within the task window to open the drop-down list.

  • Select from the list of available users, which includes the contract draft creator and anyone with the needed shared (or company user’s) access to the draft or contract.

  • To add a new external collaborator without current shared draft or contract permissions, type their email address directly after clicking on the Invite follower or assignee by email button within the search drop-down menu.

Due date

  • Click on the Due date field to set a future deadline for the task.

  • Select existing Data field with date type from the drop-down menu to base the deadline on dynamic contract data.

  • Alternatively, select Custom date to manually pick a specific date from the calendar.

Reminders

  • Click the Add alert button to set up notifications for the task assignee.

  • Choose a pre-set time offset based on the added task due date (e.g., one week or one month before).

  • Alternatively, select Custom date to manually configure an exact date for the alerts to be sent.

Frequently asked questions

  • Can I add a task to a template?

No, you cannot add tasks to a template. To explain why you can't create tasks in templates, it is because tasks are designed specifically for active document workflows - such as reviewing a draft or fulfilling an obligation in a signed contract. Because a template serves as a static, reusable blueprint for your company contracts, it does not support active task assignment or scheduled reminders. 

To create and assign tasks, you must first generate a new contract draft from the template, at which point you can add all necessary tasks and alerts to that specific draft (and eventually pending/signed contract) manually or through an automation workflow.
