





Set up and use the HubSpot integration
To build automations in integration with external applications that apply to all company contracts or utilize templates from shared template spaces, you must have user permissions to “Manage all contracts” enabled for your account, be the creator, or have shared “Manage templates” permissions in the specific source template space.
Once enabled, follow these steps to set up and use the HubSpot integration to simplify pipeline and contract management.
Prerequisites for the HubSpot integration
Before you can learn how to set up the integration, you must ensure you have the correct account setup in both Contractbook and HubSpot.
Contractbook template: You must define which template will generate the contract draft when a deal moves in your HubSpot pipeline. Ensure your template contains the necessary data fields (e.g., company name, email address, agreed price), as deals in HubSpot must contain this information to auto-generate the contract.
HubSpot plan: This integration requires Free Tools & CRM, Starter, Professional, or Enterprise versions of the Marketing Hub, Sales Hub, Service Hub, CMS Hub, or Operations Hub.
Configure HubSpot permissions
To successfully establish the connection with Contractbook, you must allow a minimum required set of permissions from your HubSpot account.
Click on Settings in your HubSpot account.
Select Users & Teams and click on Users/Permission sets.
Select the permission set for your user level and click Edit Permissions Set.
Navigate to CRM and select CRM Access.
Select Object access, click on Deals, and set it to Owned only (or a higher tier like Teams or Everything) for the Delete, Edit, and View columns.
Navigate to CRM, select CRM Access, click on CRM Tools, and check Edit property settings.
Navigate to Sales and check Manage product library.
Navigate to Account, select Settings, and check App Marketplace Access.

Connect Contractbook to HubSpot
Once your HubSpot permissions are configured, you can establish the connection directly from your Contractbook account.
Click on the Automations tab from the top main menu.
Click on Integrations from the left-hand sidebar.
Locate HubSpot under the CRM section.
Click on the blue Connect button to initiate the integration.
Use your HubSpot login credentials to authenticate in the pop-up window.
Review the requested permissions and click Accept and install.
Wait to be redirected back to your Contractbook integrations page, which will now show your HubSpot account as connected.

Use the HubSpot integration
Integrating your systems enables automatic draft creation and HubSpot deal updates. To understand how to use hubspot variables or trigger contract creation, you can utilize the options for this mapping directly in the automation setup.
Automate contract creation
You can easily create contracts automatically directly from HubSpot at any stage of your commercial process.
Click on the Automations tab from your main navigation menu in Contractbook
Click on the blue Create new automation button at the upper right hand corner of the page
Select the Automation is triggered option in the dropdown list of trigger events to fetch data from the Deal and Company HubSpot objects.
Click the Create contract in Contractbook button in the HubSpot widget while working in a Deal or Company object to instantly trigger the contract creation.
Track contract activity, statuses, and the history of the object directly from the Contractbook widget inside HubSpot.

Add HubSpot quotes as attachments
You can automatically attach generated HubSpot quotes to your newly created contracts in Contractbook.
Select the Create draft action in your automation setup.
Click on the Attachments tab within the action module.
Click on the URL bar and select the Files selected in the flow variable.
Choose to add a specific number or select All files to define which quotes should be attached.

Disconnect Contractbook from HubSpot
If you need to connect to a different account, you can safely uninstall the integration. Disconnecting will unpublish all existing automations configured for HubSpot, but it will not delete any generated documents or previously pulled HubSpot data.
Click on Settings or Profile & Preferences in the main navigation bar of your HubSpot account.
Expand the Integration section under Account Setup and select Connected apps from the dropdown list.
Locate Contractbook in the list.
Click on the Actions dropdown menu and select Uninstall.
Type "uninstall" in the confirmation box and click the Uninstall button.
