How to create a contract in HubSpot

As a HubSpot user, you can generate a contract at any point during your commercial process.

  1. Locate the button: Navigate to your HubSpot object (e.g., contact, company, or deal) and click the Create contract in Contractbook button. (Note: If you do not see this button, contact your company administrator or the manager responsible for configuring your in-app automations).

  1. Select an Automation: Clicking the button will open a "Create contract" modal. Here, you will be prompted to select an automation from a dropdown list. The options available depend on the previously configured automations. If you are unsure which one to choose, contact your Contractbook flow administrator.

Managing and monitoring your contracts

Once generated, your new contract will appear in the Contractbook contracts custom widget located on the right-hand side of your HubSpot object.

(Tip: Remember to refresh your page or the widget to ensure the newest contract loads).

Using this widget, you can:

  • Monitor Status: Easily check the progress of your contract without leaving HubSpot. The status will display as draft, pending, signed, or rejected.

  • Check Creation Details: View the exact date and time the document was generated under the "Created on" column.

  • Access the Contract: Click the contract title to be redirected to the main Contractbook application.

Once you open the document in Contractbook, you can (permissions permitting) view the file, edit content, fill in metadata fields, review the document history, or send it out for signatures.

Adding Quote Attachments

If your chosen automation includes it, you can attach HubSpot Quotes to your Contractbook contracts as PDF files.

  • Quote States: Quotes will display their current state as either “published” or “draft.” This is determined by the “is published” variable.

  • Conditional Logic: You can use these variables to set up conditional statements in the automation to filter which quotes are attached

  • Limitations: Currently, only existing HubSpot Quote files can be attached. You cannot add external file attachments through this flow.

The Deal Timeline in HubSpot

If your contract automation is triggered from a Deal object, you will see updates reflected directly in your HubSpot Deal timeline. Whenever a contract is generated, a new event titled “Contract is created on Contractbook” will automatically be logged on the timeline.
