Set up and use the Pipedrive integration

To build automations in integration with external applications that apply to all company contracts or utilize templates from shared template spaces, you must have user permissions to “Manage all contracts” enabled for your account, be the creator, or have shared “Manage templates” permissions in the specific source template space. 

Once enabled, follow these steps to connect Pipedrive and automate your entire sales journey for a faster, more cost-efficient process.

Prerequisites for the Pipedrive integration

Before you learn how to set up an automatic workflow, ensure you have the required assets prepared within both platforms.

  • Active company account: You must be an active user within your Contractbook company account.

  • Pipedrive account: You need an existing and active Pipedrive account.

  • Contractbook template: Define which template will be used to generate the contract draft as soon as a deal stage in Pipedrive is updated. This template will connect to the integration, meaning it will trigger for all deals moved to your specified stage.

  • Data fields: The automatically created contract draft relies on the data fields added to your template. Your Pipedrive deals must contain all the information you need to map into the auto-generated contract, such as company name, email address, agreed price, billing details, MRR, or ARR.

Connect Contractbook to Pipedrive

If you have the integration included in your subscription, you can easily connect Pipedrive directly from the platform to streamline your legal operations.

  • Click on the Automations tab from the top main navigation menu.

  • Click on Integrations from the left-hand sidebar.

  • Locate Pipedrive under the CRM section of the page.

  • Click on the blue Connect button to initiate the integration.

  • Use your Pipedrive login credentials to authenticate in the Contractbook - Integrations pop-up window.

  • Review the requested permissions and choose to Accept and install.

Automate your deal flow with Pipedrive

Integrating Contractbook with Pipedrive will enable automatic draft creation and deal updating, significantly decreasing the number of repetitive tasks in your contract management flow.

You can use the in-app automation builder to sync data between Pipedrive and your contracts automatically. A standard workflow typically consists of two phases:

The creation phase

This phase ensures that when a sales representative drags an opportunity into a specific pipeline stage, a new tailored sales contract is generated automatically.

  • Trigger: Select Deal stage is changed (executes when a deal is moved in your Pipedrive pipeline).

  • Action: Select Create a draft (a new draft based on your chosen template is automatically created and populated with Pipedrive data).

The post-signature phase

You can ensure that your post-signature process reflects any final changes by synchronizing all finalized data back to the Pipedrive properties they came from.

  • Trigger: Select Contract is signed (executes once all parties have completed the signature process).

  • Action: Select Update deal (the deal properties in Pipedrive are automatically updated to reflect the closed contract).

Pro-tip: To ensure your automations never fail due to missing data, mark the essential data fields in your Contractbook templates as "required." This guarantees that your company properly fills out all matched Pipedrive properties before the automatically created contract draft can be sent for signatures.
