






Automating Slack notifications upon contract signature
Keep your department in the loop and streamline your communication by automatically sending a Slack message whenever a contract is signed. This guide walks you through setting up a workflow using Contractbook natively integrated with Slack.
To build automations in integration with external applications that apply to all company contracts or utilize templates from shared template spaces, you must have user permissions to “Manage all contracts” enabled for your account, be the creator, or have shared “Manage templates” permissions in the specific source template space.

Step 1: Configure the trigger event
To begin building your workflow, navigate to the Automations tab from the main menu and click the blue Create new button in the upper right-hand corner.
Select the event which triggers the automated Slack message: In the configuration window, select Contract is signed from the drop-down menu.
Choose the Source: Define which contract(s) should start the automation. You can choose:
Every contract
Every contract drafted from a specific template (Recommended for the most efficient and scalable company flows)
A specific contract
Tip: Use the search bar to find your desired template or contract. If you have multiple files with identical names, click the eye icon to preview and ensure you have selected the right one.
Define the signature type: Specify whether the Slack message should be triggered after each individual sign, or only when the contract is fully executed by all signees.
Final signature: The automation starts only after the last required signature is completed.
Every signature: The automation starts each time any signee completes their signature. (Note: If you choose this option, you can use Party or Signee variables in the next step to indicate exactly who just signed).
Click Save to confirm your trigger configuration.

Step 2: Configure the action event
Next, define what happens when the trigger event occurs and the automation starts.
Select the action: Use the search bar to find and select Send a message on Slack.
Choose the message destination: In the right-hand configuration panel, select the public Slack channel or the specific person who should receive the direct Slack message.
Format the Message: Draft the body of your Slack notification.
Use variables: Search for and insert data points directly from your contract (e.g., Party names, Signee details, contract value) so they automatically populate in the message.
Advanced formatting: Click Show options below the message field to reveal advanced formatting tools, such as tagging, mentioning users, or adding emojis.
Click Save to confirm your action setup.


Step 3: Publish and manage your automation
Before finalizing, you can rename your automation by clicking the pen icon next to the generic title in the upper left-hand corner.
Publishing: Click Publish in the upper right-hand corner to make the automation active.
Making edits: If you need to make changes later, you must first unpublish the flow by toggling the Status bar to off. Make your edits, and then click Publish again.
Activity feed: Click the three grey dots next to the status toggle to access the automation's settings. Here, you can open, rename, delete, or view the Activity feed. The Activity feed provides full traceability, showing you exactly when the automation was triggered and the steps taken beforehand.


Step 4: Test your automation
Before relying on the automation for external-facing contracts, it is highly recommended to run a test first.
Open the template you selected in the automation event setup and click Create a draft.
Add yourself as the only signee and sign the contract draft.
Check your selected Slack channel or direct messages. You should automatically receive the customized message exactly as you formatted it in the automation action.
Once you confirm everything is running smoothly, your automation is ready for external contracts.

Frequently asked questions
What happens if I need to change the Slack message later?
You can easily update the message. Simply locate the automation in your Automations tab, toggle the status to "off" to unpublish it, edit the Slack action step, and then hit Publish again.

How do I know if my automation actually worked?
You can check the Activity feed (accessible via the three grey dots next to the automation's status toggle) to see a log of every time the automation was successfully triggered. You will also receive an in-app notification when your flow runs successfully.
