




Custom task automation
To build automations that apply to all company contracts or utilize templates from shared template spaces, you must have user permissions to “Manage all contracts” enabled for your account, be the creator, or have shared “Manage templates” permissions in the specific source template space.
An example of a custom task automation that allows you to automatically assign specific internal obligations, like an invoice task to your finance team, as soon as a new sales contract is fully signed.

Configure the automation trigger
The first step is setting up the exact type of contract-related event that starts your automated workflow.
Click on the Automations tab from the main navigation menu on the left side of the screen.
Click the blue Create new button in the upper right-hand corner.
Select the Contract is signed option from the trigger drop-down menu.
Choose Every contract drafted from a specific template from the available options to efficiently trigger the task across standardized company agreements.
Search for the specific template in the search bar and select it from the list.
Click the signature execution drop-down menu and select Final signature to execute the automation only after the contract is fully signed, or choose Every signature to execute the automatic workflow after each individual signee completes their signature.
Click the blue Save button to confirm your trigger configuration.

Configure the action event
After saving the trigger, you can define the exact action the system will run once the automation gets started.
Click the Add action button located directly below your saved trigger.
Search for and select Create a custom task from the action drop-down list.
Type a descriptive name in the Task title field.
Type the specific instructions in the Task description field. You can combine plain text input with data fields or other contract-related variables fetched directly from the selected in the previous step template.
Assign the task by typing email addresses into the Assignee and Follower fields manually, or by selecting dynamic contract variables (such as the document owner's email address, or data fields).
Select Based on execution time from the due date drop-down menu and add a time offset (e.g., 1 month) to automatically calculate the deadline from the moment the contract is fully signed.
Click the Add alert button to configure additional reminders based relatively to the due date or another selected automation variable.
Click the blue Save button to confirm your action event.

Publish and monitor the automation
Click the Automation name field in the upper left-hand corner to replace the generic title with a descriptive one (e.g., "Sales agreement - Invoice task automation").
Click the blue Publish button in the top right-hand corner to activate the workflow.
Check the Notifications bell icon at the top navigation bar to monitor when your automation runs.
If a workflow does not execute as expected and you need to figure out how to fix a failed automation, click on the failed notification in your activity feed. Expand the Failure to run details section to identify the exact error. You can then navigate back to the Automations tab, toggle the Status to unpublish the workflow, adjust your settings, and republish it.
