How to Create a Contract in Salesforce

As a Salesforce user, you can generate a contract at any point during your commercial process.

  1. Locate the Button: Navigate to your Salesforce object (e.g., Opportunity, Account, or Quote) and click the Create Contract in Contractbook button.

    1. Note: If you do not see this button, reach out to your Salesforce Admin, as they must configure the layout.

  2. Select an Automation: Clicking the button will open a "Create contract" modal. Here, you will be prompted to select an automation from a dropdown list. The options available depend on the workflows previously set up by your Admin. If you are unsure which one to choose, contact the person responsible for your Contractbook flow configuration.

Managing and monitoring your contracts

Once generated, your new contract will appear in the Contractbook contracts custom widget located within your Salesforce object.

Using this widget, you can:

  • Monitor Status: Check the progress of your contract without leaving Salesforce. The status will display as draft, pending, signed, or rejected.

  • Check Creation Details: View the exact date and time the document was generated under the "Created on" column.

  • Access the Contract: Click the contract title to be redirected to the main Contractbook application.

Once you open the document in Contractbook, you can (permissions permitting) view the document, edit content, fill in data and metadata fields, review the document history section, or send it out for signatures.

Adding attachments and CPQ quotes

If your Salesforce Admin has configured it in your chosen automation, existing files attached to your Salesforce record can be automatically included in the created contract draft.

Important rules for attachments:
  • No External Files: You cannot upload external attachments directly through this flow; only files already existing on the Salesforce record can be added.

  • Salesforce CPQ Integration: If you use Salesforce CPQ, you can save generated quotes as PDF files on either the Quote or Opportunity records. To attach these PDFs to your Contractbook contract, you must launch the automation from the exact Salesforce object where the PDF is saved.

    • For example, if the PDF quote is saved to the Quote record, you must click the "Create Contract" button from that specific Quote record to select the file.

Frequently asked questions

  • What should I do if I cannot find the "Create Contract in Contractbook" button?

Reach out to your Salesforce Administrator. They are responsible for adding the Contractbook components to your specific Salesforce object layouts.

  • Why don't I see the right automation in the picklist?

The automations available in the dropdown are entirely dependent on what your Admin has built and assigned to that specific record type. Contact your Admin to verify if the automation has been set up correctly for the record you are working on.

  • Can I upload a new file directly from my computer to attach to the contract?

No, not through the Salesforce creation flow. You can only attach files that are already saved to the specific Salesforce record you are generating the contract from. Alternatively, you can open the generated draft in Contractbook and upload an external attachment directly there.

  • Why isn't my CPQ PDF attaching to the contract?

Ensure you are triggering the contract creation from the exact object where the PDF is saved. If the PDF is saved on the Quote record, but you trigger the automation from the Opportunity record, the system will not be able to pull the file.
