





Create reminder automatically
To build automations that apply to all company contracts or utilize templates from shared template spaces, you must have user permissions to “Manage all contracts” enabled for your account, be the creator, or have shared “Manage templates” permissions in the specific source template space.

Configure the trigger event
To understand how to set up automatic reminders or build a renewal automation with Contractbook, the first step is to define the event that starts the workflow. For the most efficient setup, we recommend triggering the automation when a contract drafted from a specific template is fully signed. You can select any of the other types of automation actions that fits your company workflow from the dropdown menu.
Click the Automations tab from the main navigation menu on the left side of the screen.
Click the blue Create new button in the top right corner of the page.
Select Contract is signed from the trigger drop-down menu.

Configure the action event
This step covers the action the automation trigger will generate, which is creating a reminder task automatically.
Click the Add action button located below your saved trigger.
Search for and select Create a reminder from the list of available actions.
Note that the Document ID is automatically fetched from your template and populated at the top of the configuration window.
Type a clear name in the Title field.
Select the specific type of task from the Reminder type drop-down menu.
Click the Assignee field and use the Variables tab to dynamically assign the automatic reminder task. As shown in the configuration menu, you can search for keywords like "name" to select appropriate variables such as one of the document signee's, defined by Email and signature number in the signing sequence, or the document owner's Email.

Click the + Add follower button if you want to include passive observers on the reminder task who will not be able to mark it as done.
Select Manual or based on automation variable from the Date type drop-down menu under the Due date section, and select your specific date variable in the Value field to automatically set deadlines.
Click the blue Save button to confirm your completed automation setup.


Set the reminder’s due date and additional alerts
Select the task's due date from the drop-down menu.
Choose Manual or based on automation variable to base the deadline on a specific date type of data field from the contract, or select Based on execution time to set the due date relative to when the contract was signed (e.g., 12 months after the execution time) or any other trigger criteria you have configured for your automation’s start.
You can use offset added or deducted from the reminder’s actual due date you have configured.
The additional alerts can also be based on the reminder’s due date with specific offset if needed.


Publish and test the automation
Click the Automation name field in the upper left corner to give your workflow a clear, descriptive title (e.g., "Renewal reminder automation - Vendor contracts").
If your workflow fails to execute properly, click the failed notification to expand the failure to run details. This will help you identify the missing variable or specific configuration error. Unpublish the automation, apply the steps to fix the error, and publish it again. If you cannot resolve a failed automation on your own, please contact our Support team for technical assistance.
