Task due date is reached automations

To build automations that apply to all company contracts or utilize templates from shared template spaces, you must have user permissions to “Manage all contracts” enabled for your account, be the creator or have “Manage templates” shared permissions for the specific source template space.

How does the trigger event work?

The “Task due date is reached” trigger will start the automation once the selected task’s due date passes. For example, if you have a renewal task with a due date of August 15, the automation will run on August 15 at 09:00 UTC.

Configure the trigger event

To understand how to automatically send a contract for signature as soon as a renewal task due date is reached, you must first configure the event that starts the workflow.

  • Click the Automations tab from the main navigation menu on the left side of the screen.

  • Click the blue Create new button in the top right corner of the page.

  • Select Task due date is reached from the trigger drop-down menu.

Configure the action event

After saving the trigger, you need to define what will happen automatically when the selected task’s due date is reached.

  • Click the Add action button located below your saved trigger.

  • Search for and select (for example) Create a draft from the action options in the dropdown list.

  • Customize the properties of the new contract draft, such as the title, parties and signees from the Details tab, data fields from the Data tab.

  • Add attachments to the draft’s body from the Attachments tab, configure the automatic message that will be sent to the draft’s recipients and set any signing order for the added signees from the Other tab.

  • Click the Add action button again to add another step to the workflow.

  • Search for and select Send for signature to ensure the contract draft is dispatched automatically.

  • Click the blue Save button to confirm the configuration of your action.

Publish and manage your automation

  • Click the Automation name field in the upper left corner to give your workflow a clear, descriptive title (e.g., "Renewal of purchase agreements").

  • Click the blue Publish button in the top right corner to activate the workflow.

Test and fix a failed automation

To test the entire automation flow, add a new task to the document you selected in the first step of the automation. Ensure you are an assignee or follower to this task. When the due date is reached, check your email or in-app notifications. If your workflow did not trigger successfully and you need to figure out how to fix a failed automation, follow these steps:

  • Click the Notifications bell icon in the top right corner of the main menu.

  • Click the failed notification from the list to access the detailed view.

  • Expand the Failure to run details section to identify the exact reason for the failure (e.g., missing signee email address, lost document or task access).

  • Navigate back to the Automations tab to apply the required fixes to your trigger or action configuration. If you cannot resolve a failed automation on your own, please contact our Support team for assistance.

Frequently asked questions

  • Will the automation trigger for tasks that are already marked as done?

By default, the automation will only start for tasks that are not completed yet. You can change this default behavior in your trigger setup itself.

Check the Start automations also on completed tasks box if you want the automation to execute even if the task is already marked as done before its due date is reached. If this box is left unchecked, completing the task before the due date will prevent the automation from running.
