Using reached task’s due date in automations

To build automations that apply to all company contracts or utilize templates from shared template spaces, you must have rights to “Manage company contracts” or “Manage templates” permissions in the shared template space. 

Set up the automation trigger

If you want to know how to use a reached task’s due date to set up automated workflows, for example - creating an automatic renewal reminder task, the first step is configuring the event that starts the workflow (automation trigger).

  • Click on the Automations tab from the main menu on the left side of the screen.

  • Click the Create new button in the top right corner of the page.

  • Search for and select the Task due date is reached from the trigger options list.

  • Select the specific contract, or  template this automation should apply to by using the search bar or drop-down menu.

  • Choose the specific type of task that will trigger the automation from the drop-down menu (for example, select Renewal).

  • Enable the Start automations also on completed tasks checkbox to start the automation on both completed and uncompleted tasks.

  • Click the blue Save button to confirm your settings.

Configure the automated task action

Once the trigger is saved, you need to define the exact action that occurs when the task due date is reached to create your task automation.

  • Click the Add action button located below your saved trigger.

  • Select Create task from the list of available actions, or any other type of action which fits your specific workflow.

  • Type a descriptive name for your renewal reminder in the Task title field.

  • Select Renewal from the Task type drop-down menu.

  • Choose the due date for this new reminder task. You can add a custom offset to the original task's due date to trigger early (e.g., set it to 30 days before the renewal date).

  • Customize the Assignees and Followers fields by selecting specific company users from the People tab, or click on the Variables tab to select data fields or party and signee details from the contract/template.

  • Add any additional custom instructions in the Task description field using rich contract data through data fields, variables or plain text input.

  • Click the blue Save button to complete your action settings.

Publish your automation

  • Type a clear name for your workflow in the Automation name field at the top of the screen.

  • Click the blue Publish button in the top right corner to activate the workflow.
